What are Scheduled Emails and how can you use them?

Scheduled email has a very simple mechanism. It is sent on the days you choose (according to the schedule) to the visitors who meet the conditions you set. However, with this simple mechanism you can create very flexible flows.

To create a scheduled email, you need to create an email as usual and select the "Scheduled" email type in the Subscribers step on the left.

First - When

The first thing you need to pay attention to is the "2. When" item in the settings. Here you specify on which days the email should be sent. The choices are: every day, on selected days of the week or on specific days of the month.

  • The Daily option is the simplest one. It means that InSend will check the conditions every day and send emails to those who meet them.
  • The "On selected days of the week" option is more complex. It is suitable for cases when you need to organize sending only on weekdays, or only on Monday, Wednesday, Friday, or once a week, etc. I.e. for the cases when the binding to the days of the week is important for you. For example, if you have selected Mon and Wed, then InSend will only check your conditions and send emails on those days. This must be taken into account when creating the conditions.
  • The "On selected days of the month" option is very similar to the previous one, but the conditions are applied to the days of the month rather than the days of the week. This. If you want to send an email once a month, on the 1st, 15th or 30th, select this option. Do not forget that sometimes there is a February when there are only a few days.

For all 3 cases, you can set the time of sending. Now that you have chosen the "When" tab, let us move on to the conditions.

Second - Subscribers

You can set the conditions directly in the email (item "Set filter") or create a visitor segment and select it in the email (item "Select segment"). The filter in the email is simpler than in the segment constructor. Here you can set conditions for the static characteristics of visitors and for whether an email was opened or read. In the segment builder you can additionally set conditions for events, purchases, abandoned shopping carts, etc.


Let us see a few examples of what conditions can be set:


Example 1. You have visited the website 3 or more times, but have not made a purchase

Let us look at what each rule means:

  • The "session" characteristic is greater than 2 - it means that the visitor has visited the site 3 or more times.
  • Orders is equal to 0 - never in the history of this visitor did not buy.
  • Last visit days ago 1 - that this means that the person was last on the site yesterday.
  • Now in cart (sum) is equal to 0 - this is not a requirement. Excludes visitors who have items in cart at the moment. These clients have their own automation, so they do not need to send this email.
  • The email "email with cart after pop up..." was not sent - this is an indication that the same email has not been sent to the person yet. The condition is also not necessary, we set it in order not to annoy the customers.

This condition was created in the segment constructor because we needed rules here for abandoned shopping carts and orders that are not included in the filter in the email itself. The email is sent every day, conditions for days of the week or month are not needed.

Let's complicate the task

We will create an email for those who have not visited the website for more than 30 days, not daily, but on Thursdays. In the "When" block, we will specify only one day of the week - Thursday. InSend will now check the condition only on Thursdays, once a week. It turns out that the previous condition is no longer suitable. You need to instruct InSend to select all visitors whose last visit was between 30 and 38 days ago.

Let us make things even more complicated and send the email only on weekdays. At first glance, there is no difference. However, we might unintentionally flood visitors with emails if we keep the same condition. Because we will send emails every weekday.

You can use a simple rule "Date of last visit more than 30 days ago". Then, every day from Mon to Fri, InSend will select all visitors who were on the site exactly 30 days ago and send them an email. A good option, but at the same time we lose the visitors who came to us on weekends.
